Paying a Deposit to a Vietnam Photo Studio: How It Works

By the Cáo Studio team · Hanoi & Saigon · 2026-11-02

A deposit reserves your date and creative team at Cáo Studio (Hanoi or Saigon). You pay a portion upfront via online transfer, card, or bank wire—typically 30–50% of your package cost—and the remainder before the shoot or on the day. We stop taking bookings for your chosen date once we receive your deposit; without it, your slot can be released. The deposit is non-refundable if you cancel with short notice, but you can usually reschedule. Cancellations more than 14 days before your shoot may carry a smaller fee. We confirm all details on WhatsApp after payment clears, and you'll receive a detailed timeline (hair, makeup, first location, weather backup) 5–7 days prior. Chat with us on WhatsApp

Why does a studio ask for a deposit upfront?

A deposit locks in your date and ensures both you and Cáo Studio are committed. Without it, clients often reschedule last-minute, forcing us to turn away other travelers. We hold the slot—and reserve one makeup artist, one stylist, and one photographer—only after the deposit clears. This also covers our pre-shoot costs: outfit research, location permits in Hoi An or Ninh Binh, and backup transportation if weather fails. When you pay, we begin planning your shoot with the same care as a shoot costing three times the deposit.

When you book a special concept shoot, your deposit signals we should start scouting locations and costume options specifically for you.

How much deposit do you actually need to put down?

Most Cáo Studio packages ask for 30–50% of the total package cost upfront; the exact percentage appears on the booking page for your chosen package. This varies by shoot type: a quick vacation solo photoshoot may have a lower deposit threshold than a full-day pre-wedding shoot because the latter ties up more labor. We accept Visa, Mastercard, online payment links, bank transfer, and cash (if you're in Vietnam). International guests can pay from abroad; no local bank account needed. Once your payment processes (usually within 1–2 hours for cards, 24 hours for bank transfer), we send a WhatsApp confirmation with your shoot date, stylist name, and first location address.

What happens if you need to cancel after paying the deposit?

Cancellations depend on how close you are to your shoot date. If you cancel more than 14 days before, we typically refund part of your deposit or let you reschedule to a future date at no extra cost—this is our most common path. Cancellations 7–14 days out may lose the full deposit but allow a free reschedule within 6 months. Last-minute cancellations (under 7 days) forfeit the deposit entirely because we've already locked the team, scouted locations, and sometimes pre-ordered props or outfits. Visa and Mastercard disputes can take 60–90 days to resolve and may prevent you from rebooking with us; we always prefer working it out on WhatsApp first. Reschedules are free and flexible—most guests move their date once or twice without penalty.

Talk to us before canceling; often a shift in timing or package type solves the problem without losing money.

When is the final balance due, and can you pay it in installments?

The remaining balance (typically 50–70% of your total) is due before the shoot or on the day itself. Most guests transfer it 3–5 days before; some pay in cash when the team arrives at the hotel or location. We do not break the balance into multiple installments, but you can split your total cost into deposit + final payment across two transactions. If you're booking more than 30 days ahead, contact us on WhatsApp to discuss a custom payment plan—we sometimes allow this for couple shoots or multi-day pre-wedding packages, but it's not the default. Always confirm the final payment deadline in your confirmation message; it's also printed on your invoice.

Paying early (3–7 days before) gives us time to chase you for missing details (outfit sizes, shoe color, jewelry preferences) without rushed follow-up.

What should you check before handing over a deposit?

Before you pay, answer these questions:

  • Is the date locked? Confirm your shoot date in writing on WhatsApp before sending any money. "Pending" or "check my calendar" is not a booking.
  • Which team will shoot you? Ask which photographer and stylist are assigned. If a name changes after deposit, you have the right to reschedule.
  • What's included in the package you're paying for? Read the package details on vietnamphotoshoot.com and note outfit count, location count, hair/makeup style, and editing style. Screenshot it.
  • Is the deposit amount correct? Match it to the percentage listed on the booking page for your shoot type and location (Hanoi, Saigon, Hoi An, Ninh Binh).
  • Does the final balance include all add-ons? If you want extra outfits, drone shots, or a makeup and hair at your hotel service, confirm these are priced and added before you transfer.
  • Are cancellation terms clear? Ask in writing: "If I cancel 20 days before, do I get a reschedule credit or partial refund?" Save the answer.
  • What currency is the invoice in USD? Confirm the currency before you wire bank funds to avoid exchange-rate shocks.

Missing answers to any of these six points means you're not ready to pay. Message us on WhatsApp with the list; we'll reply within 24 hours.

How Cáo Studio actually uses your deposit: behind the scenes

Once your deposit clears, here's what happens on our end. The photographer blocks the date on our calendar and begins reviewing your WhatsApp history for style preferences: colors you mentioned, poses you liked in Pinterest screenshots, or wedding theme details. The stylist requests your dress size, shoe size, and any cultural dress requests (áo dài color, traditional or modern). If you're shooting in Hoi An or Ninh Binh, the location scout begins checking permit requirements and sunrise/sunset times for your date. We order backup props or request outfits from local rental houses if your concept requires them—this happens between days 3–10 after your deposit. On day 7–5 before your shoot, we send a detailed timeline: "Hair at 7:30 a.m., makeup at 8:00 a.m., first location at 9:15 a.m., lunch break at 12:30 p.m., second location at 2:00 p.m." This schedule prevents surprises and lets you plan transportation or childcare.

Most guests don't see this work, but it only happens after your deposit lands in our account. Without it, the calendar slot stays empty and your team stays available for other clients.

What if the weather is bad or someone gets sick on shoot day?

If weather turns severe (typhoon, flood), we reschedule to the next available date at no extra cost; your deposit transfers automatically. The backup date is usually within 7–10 days. If a team member (makeup artist, photographer, stylist) falls ill and we cannot find a replacement of equal skill, we offer a full reschedule with the original deposit retained, or a partial refund. Illness on your end is treated the same as guest cancellation: if you're too sick to shoot, we reschedule and you keep your deposit as a credit. We do not charge extra if weather forces us to use an indoor or secondary location; the package covers the concept you booked, not a specific weather outcome.

In 5+ years, we've rescheduled fewer than 10 shoots due to illness or weather; most proceed as planned.

Can you use a deposit from one shoot toward a different package later?

Yes. If you pay a deposit for a couple photoshoot but later want to add a solo vacation session before your couple shoot, the deposit applies to either package. You can also split a large deposit between two bookings (e.g., 50% for an áo dài shoot now, 50% toward a pre-wedding shoot next month). The deposit is a credit against any Cáo Studio package, as long as you use it within 12 months of the original payment date. After 12 months, we cannot guarantee the credit—ask us to refresh it via a new transfer or payment link. If you cancel entirely and have no shoot booked, the deposit expires after 6 months and becomes non-refundable; so reschedule or book a new date if you're unsure about timing.

Most travelers use their deposit within 2–3 months; the 12-month window covers unexpected delays or family changes.

Final checklist: What to do right after you pay your deposit

  1. Save your payment receipt. Screenshot the transaction ID, date, and amount from your bank or card statement.
  2. Wait for a WhatsApp confirmation from Cáo Studio. It will include your shoot date, stylist/photographer names, and next steps.
  3. Reply with three details: final guest count, outfit color preferences, and a backup mobile number if yours changes.
  4. Set a calendar reminder for the final balance deadline (usually 5–7 days before your shoot).
  5. Watch for a location map and timeline. This arrives 5–7 days before; if it doesn't, message us.
  6. Confirm your hotel or location pickup details 2 days before.
  7. On shoot day, transfer the final balance before 7:00 a.m. or bring cash to your location.

If any step feels unclear, ask on WhatsApp before proceeding. We've explained deposits a thousand times; one more question costs nothing.
